Administrative Assistant

Based in West Des Moines, Iowa, the Iowa Health Care Association [IHCA] and its divisions, the Iowa Center for Assisted Living [ICAL] and Iowa Center for Home Care [ICHC], is a statewide non-profit organization that represents and serves a diverse membership comprised of most of Iowa’s skilled nursing facilities (SNFs), assisted living programs (ALPs), home health agencies (HHAs), and long-term care medical directors across Iowa.

Position description

Under the direction of the Senior Vice President, Operations and Chief Financial Officer, the Administrative Assistant is in charge of office and administrative duties, supports senior leaders, and primary telephone coverage for all incoming calls for the Iowa Health Care Association (IHCA).

Primary Responsibilities

  • Field all incoming telephone calls including routing and directing calls.
  • Greets and directs all building visitors.
  • Manages calendars by making travel and meeting arrangements for senior leaders.
  • Manages, assembles and coordinates shipping of all IHCA mailings.
  • Processes incoming mail and totals the daily receivables.
  • Handles administrative and office support such as ordering supplies, data entry in the association database (create new profiles, registration, etc.), and handles the kitchen – ordering/stocking food and beverages as well as sanitizing the kitchen.
  • Provide support to the education department:
    • Convention/Education Committee meeting notices and minutes
    • Photocopying and mailing of education events
    • Assist with registration process
    • Creating and tabulating speaker evaluations
  • Helps manage the IHCA Education Center.
  • Provides general support to the senior leaders.
  • Works with the association’s survey results committees for collection of survey material.
  • Assists the Office Manager with the oversight of the building maintenance and cleaning.
  • Performs other related duties as assigned.

  • Reports to: Senior Vice President, Operations & Chief Financial Officer
  • Status: Full-time; Non-Exempt


  • Valid Iowa driver’s license
  • Ability to pass a comprehensive national criminal background and licensure check
  • Proficient in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)
  • 3-5 years of administrative assistance or support

  • Detailed oriented, proactive, and able to work in a fast-paced environment and meet deadlines with frequent interruptions
  • Ability to deliver excellent member service
  • Communicating effectively with all levels of management, boards of directors, and staff as well as external individuals and groups
  • Must be able to work individually and as a team. The success of IHCA depends on the willingness of each team member to work cooperatively to accomplish overall goals set forth by the Board of Directors and the President/CEO.

Work environment and physical requirements

Work is generally performed in an office environment with frequent interruptions and some irregularities in work schedules.  No special coordination beyond that used for normal mobility and handling of everyday objects and material is needed to perform the job satisfactorily.
