Executive & Operations Assistant

The Iowa Health Care Association (IHCA), along with its affiliates the Iowa Center for Assisted Living (ICAL) and Iowa Center for Home Care (ICHC), represents and serves organizations that provide long-term health care to improve the lives of Iowans. Our members include over 800 long-term care providers, including nursing facilities, assisted living, residential care, senior living communities and home health agencies, and we are the largest non-profit trade organization serving long-term care providers in Iowa. We provide leadership, advocacy, information and education for our members to support them in providing quality care to Iowa’s most vulnerable residents. We are also the state affiliate of the American Health Care Association, National Center for Assisted Living and National Association of Home Care & Hospice.

Position Description

Under the supervision of the Senior Vice President, Operations & Chief Financial Officer, provides project, office and executive support across several association priorities, including database management; board of directors interface; external vendor management and technology support; staff function coordination; and managing a wide variety of support and administrative tasks.

Primary Responsibilities

  • Maintains and updates the association management system (AMS) with membership, committees, profiles, reports and association events. Builds reports and communications list queries.
  • Manages ongoing updates to communication lists (i.e., return emails and mail); Database accuracy is critical
  • Assists with phone coverage
  • Serves as the point person with vendors and suppliers for IT/phone systems, building maintenance, etc.
  • Oversees troubleshooting for system errors and IT issues
  • Supports CEO & CSO to organize political fundraising efforts and member legislative functions
  • Assists with internal and external meeting coordination including notices, location arrangements (if held off-site or video), meal arrangements, and preparation/coordination of meeting handouts as requested
  • Assists with board and annual meetings including coordination of agendas, meeting materials, new board member orientation, and recording minutes for all boards
  • Assists with program evaluations, surveys, and Continuing Education Unit (CEUs) issuances
  • Coordinates district meeting correspondence with the district chairs
  • Coordinates the board and district elections
  • Files and maintains records of IHCA correspondence, including the IHCA’s public drive and IHCA’s content management system
  • Works with the association’s survey results committees for collection of survey material
  • Assists in planning and executing a wide variety of association events
  • Provides executive support to the senior management team
  • Performs other related duties as assigned by SVP, Operations & CFO

Qualifications

  • Bachelor’s degree or equivalent
  • Proficient in Microsoft Office 365 (PowerPoint, Word, Excel, Outlook)
  • 3-5 years of executive support or assistance
  • Valid Iowa driver’s license

Demonstrated Skills

  • Detailed oriented, proactive, and able to work in a fast-paced environment and meet deadlines with frequent interruptions
  • Association Management System (database) experience
  • Board of directors management skills preferred
  • Demonstrated success serving in an executive administrative and project support role
  • Demonstrated strong problem-solving skills
  • Strong information technology skills to assist with support and maintenance
  • Ability to deliver excellent member service
  • Strong oral and written communication skills
  • Must be able to work individually and as a team
