Project Coordinator

Based in West Des Moines, Iowa, the Iowa Health Care Association [IHCA] and its divisions, the Iowa Center for Assisted Living [ICAL] and Iowa Center for Home Care [ICHC], is a statewide non-profit organization that represents and serves a diverse membership comprised of most of Iowa’s skilled nursing facilities (SNFs), assisted living programs (ALPs), home health agencies (HHAs), and long-term care medical directors across Iowa.

Position Description
Under the direction of the Senior Vice President, Operations & Chief Financial Officer, the project coordinator manages technology deployment of the association management system (i.e. Impexium database), software (i.e. Microsoft Office, BoardEffect, UC One) and IT equipment.  This position needs to problem solve technology interruption, maintain clean data in our association management system, support staff function coordination, manage external vendors, and manage a wide variety of support and administrative tasks.

Primary Responsibilities

  • Maintains and updates the association management system (AMS) with membership, committees, profiles, reports and association events. Builds reports and communications list queries. Manages ongoing updates to communication lists (i.e., return emails and mail).  Database accuracy is critical.
  • Serves as the point person with vendors and suppliers for technology systems, phone systems and building maintenance.
  • Provides frontline troubleshooting for staff on IT system errors and issues and works with IT support vendor on more advanced technical issues to ensure resolutions.
  • Assists Administrative Assistant with phone coverage.
  • Assists in planning and executing a wide variety of association events, including political fundraising and legislative events, and other internal and external meetings. This includes coordinating meeting notices, location arrangements (if held off-site or video), meal arrangements, and preparation/coordination of meeting handouts as requested.
  • Assists with board, district and annual meetings. This includes coordinating meeting agendas, meeting materials, new board member orientation, and recording minutes for all boards
  • Coordinates the board and district elections and works with association election system vendor.
  • Assists with program evaluations, surveys, and Continuing Education Unit (CEUs) issuances through CEU tracking system.
  • Files and maintains records of IHCA correspondence, including managing the IHCA’s public drive and IHCA’s content management system
  • Performs other related duties as assigned by SVP, Operations & CFO

Qualifications

  • Valid Iowa driver’s license
  • Ability to pass a comprehensive national criminal background and licensure check
  • Bachelor’s degree or equivalent
  • Proficient in Microsoft Office 365 (PowerPoint, Word, Excel, Outlook)
  • 3+ years of working in technology operations
  • 3-5 years of work experience in an office management role

 

Demonstrated Skills

  • Detailed oriented, proactive, and able to work in a fast-paced environment and meet deadlines with frequent interruptions
  • Association Management System (database) experience, Impexium experienced preferred.
  • Strong information technology and problem-solving skills to assist with support and maintenance
  • Experience with the following programs preferred: BoardEffect, UC One, Focus & Execute, Zoom
  • Demonstrated success serving in a project support role
  • Demonstrated strong problem-solving skills
  • Ability to deliver excellent member service
  • Strong oral and written communication skills
  • Must be able to work individually and as a team

 

Work environment and physical requirements

Work is generally performed in an office environment with frequent interruptions and some irregularities in work schedules.  No special coordination beyond that used for normal mobility and handling of everyday objects and material is needed to perform the job satisfactorily.
